Tu-Sat (includes required work on Saturday during residencies)
Work hours to be adjusted during the residency cycle including adjusting to time zones
RESIDENCY PERIODS: annually January-April (spring semester), July-October (fall semester)
WORK SITE: Office located in the Registrar Office on Goddard’s campus in Plainfield, VT. Requirement to work on-site in the Registrar Office during the residencies both in the Fall and Spring semesters. Hybrid work schedule available with an approved schedule completed a year in advance with the supervisor.
BASIC FUNCTION: The primary function is to be engaged with students year round providing equitable and consistent enrollment services and managing registration while supporting the College’s mission, strategic planning, and social justice, diversity, equity & inclusion commitment within the functions of the Office of the Registrar. The position is also responsible for coordinating various Canvas efforts with the Registrar, with this position interfacing primarily with faculty, program leads and academic affairs.
CHARACTERISTIC DUTIES & RESPONSIBILITIES
Enrollment Services:
- Determine student eligibility to enroll in collaboration with the Registrar, Assistant Academic Dean, Program Leadership and registration offices
- Oversee and manage semester registration processes with students, staff and faculty
- Develop and maintain enrollment spreadsheets for staff and college digital archives
- Document mid-semester check-ins, residency and semester participation benchmarks
- Conduct Registrar Office related residency workshops on-site, hybrid and virtually via zoom
- Provide holistic academic advising to support degree completion planning in collaboration with Academic Program Leadership, Community Life & Admissions
- Serve as a subject matter expert (SME) for undergraduate transfer credit evaluations
- Process enrollment changes for all students in collaboration with Program Leadership
- Cross train to support and backup Student Services & Student Life as needed
- Will serve as a subject matter expert (SME) for enrollment services administrative functions for the Anthology student information system
- Assist with campus-wide short- and long-term enrollment planning efforts in order to support college enrollment objectives
- Work with undergraduate students and Program Leadership pursuing fast track enrollment options, readmittance, degree changes and program transfers
- Work in collaboration with the APL Coordinator and undergraduate program leadership to document anticipated and awarded prior learning credit
- Work with the Progress Review Coordinator to confirm eligibility to enroll in final semester
- Work in collaboration with the Student Life Manager to follow up with students considering a leave of absence, withdrawal, non-participation or assessing other enrollment options
- Serve as a backup Veterans Affairs School Certifying Official
- Serve as a tertiary Student and Exchange Visitor Program Designated School Official
- Serve as a backup Dual Enrollment | Early College Access Coordinator
- Serve as a backup college liaison for the National Student Loan Clearinghouse (NSLC)
- Maintain weekly scheduled drop-in open office hours for students throughout the semester
Learning Management System Support:
- Coordinate various Canvas efforts, with this position interfacing primarily with faculty, program leadership and academic staff
- Supervise and provide ongoing training to staff support team on Canvas
- Conduct and coordinate on-line Canvas orientation for faculty
- Work in collaboration with Community Life on student engagement on Canvas
- Assist with providing resources on Canvas to deliver services & consistent experience
- Coordinate the various conversations on campus regarding Canvas
- Oversee the annual budget related to the learning management systems
- Coordinate student training requirements in the Learning Management System
Understanding and implementation of FERPA:
- Comply with FERPA in job duties, and assist others with FERPA related questions/issues
- Complete annual FERPA training and certification
OTHER REQUIREMENTS
Residency Cycle Support:
- Availability during in-person and/or virtual residency required
- Extended time off will not be approved during the residency cycles
- Meet with students and faculty, on-campus or via zoom as requested
- Being present and available during designated times in residency spaces
- Expected to travel to other instructional sites for residencies if requested
Continuity of operations planning:
- Ongoing documentation of position procedures is expected and will be maintained for accuracy & providing equal services to all students
- Position will be trained to utilize all Parchment Digital Credential Platforms to fulfill requests
- The non-bargaining unit staff in the Registrar Office will be trained in Title IX
Professional development opportunities:
- Webinar, trainings and/or certifications on standards from AVIC, AACRAO, NSLC, IPEDS, VA, SEVIS, FERPA, notary, student services, early college access, technology and other relevant as identified by the Registrar, professional interest or that become available
- Represent the Office of the Registrar on committees and workgroups as invited-required participation on Scholarship, Digital Futures and Retention Committees
CONTINGENCY PLANNING
- In absence of Academic Records Coordinator, compile, write and process transcript requests
- In absence of the Registrar, coordinate signing documents by proxy, provide data for required reporting [National Student Clearinghouse, IPEDS, VA, NECHE, any needed]
- In the absence of the Registrar, step in as Acting Registrar in collaboration with the Provost and Academic Affairs Office
- In the event of an emergency, this position may be asked to provide student or faculty rosters, identification badges or other support as requested by Goddard leadership
- In the absence of Community Life staff, this position will be asked to step in to provide student support

Supervision is received from the Registrar | Director of Enrollment Systems & Academic Operations
SUPERVISION EXERCISED
Will supervise Canvas support staff
MINIMUM QUALIFICATIONS
- Education: Undergraduate degree and 3 – 5 years of experience in admissions, student life and/or student records or a combination of education and experience from which comparable knowledge and skills are acquired
- Technology: Demonstrated experience and facility with Parchment, Google Suite, Adobe Creative Cloud, Microsoft Office, Zoom and/or Microsoft Teams.
- Technology: Demonstrated experience and facility with computerized higher education information systems (student information systems-preferred Anthology and learning management systems-preferred Canvas)
- Experience/demonstrated competencies: Good administrative skills, exceptional organizational skills, and attention to detail. Must be able to multitask and work on time-sensitive projects with competing deadlines. Strong written and oral communication skills. Familiarity with Goddard’s educational approach and format required.
- Ability to communicate effectively with a wide range of individuals and groups inside and outside of the College via email, zoom and telephone
- Ability to exercise judgment and discretion in applying and interpreting College policies and procedures
- Ability to work effectively with a student, faculty, and staff community that is geographically dispersed and diverse in regards to age, cultural identity, ethnicity, gender-identity, race, sexuality, and cultural competence community
- Preferred fluency in a language other than English.
